Pinewood Teen Missions Information

Mexico Details

When – Jun 5-12th (Thur. – Thur.)

Who - Rising 9th- college age

Where – Monterrey, Mexico

What – Light construction at one of the church plants and an orphanage

Lodging – Hotel/motel

Travel – Airplane

$$$ - approx $1500 (depending on airfare)

Leaders – Don Hamilton, Chuck Haynes, Jason Henning, New Female Youth Assistant

(There will be other adults – these are just the leaders)

Ukraine Details

When – Aug.4th – Aug.16th (nearly 2 weeks)

Who – Rising 11th thru college

Where - Kiev, Ukraine

What – Providing a summer camp experience for Ukrainian youth – discipleship, crafts, games, music, etc; real hands on evangelism through relationship building with local youth

Lodging – Linda Stegal’s apartment (a few nights possibly), hotel, Sanatorium (a fancy Russian word for the camp)

Travel – Airplane (not much choice)

$$$ - 2500 (depending on airfare)

Leaders – Kevin McQuillen (with other adults as well)

•A $100 Non-refundable deposit and application are due for both trips by February 24th

•Interviews for the missions teams will take place Sunday, February 24th at the church.

• A mandatory Envelope stuffing party will be held on Tuesday night March 4th at 6pm in the Fellowship Hall

oEvery student must come to this meeting and have at least 40 stamped and addressed envelopes

oCopies of their pre-approved support letter (we can always make more copies if needed)

The letter should be written and pre-approved PRIOR to March 4th.

Do NOT show up without a letter, or without at least 40 names to mail letters to.

Bring a pen to personalize all letters going to potential supporters.

Letters may not be sent prior to the envelope stuffing party

Each support letter should include a smaller stamped return envelope with the church address.

•We will have a stamp available with the church address at the party

All students will be required to send Thank You letters to all supporters upon return from the trip. In the past students have not done this, and thus many donors have no clue how their prayers or donations were answered or used during the trip. PARENTS – please help us in encouraging students to write these thank you notes upon returning from their trip.

Regular meetings – Both missions teams will meet during the Sunday school (room TBA)

•The meeting days are TBA

oMeetings are mandatory- attendance will be taken

oScripture memory will be required

oA missionary biography will be required reading for all who wish to attend one of the trips.

•The book must be read prior to departure

$$$$ Responsibilities

•A $100 Non-refundable deposit is due for both trips on March 4th

After that, the payment schedule is as follows

•Mexico

o25% of trip cost due April 6th (including deposit)

o25% more due on May 4th

oRemaining 50% due June 1st

•Ukraine

o25% of trip cost due May 4th (including deposit)

o25% more due on June 1st

oRemaining 50% due on July 27th

•Students will be given an update on their support at each regular meeting. Students or their families are responsible for any shortfall when payments are due

oFor example, assuming the 1st payment is $500

if at the time of the 1st payment, Kevin only has received $300 in support plus his $50 deposit

$500 (due) - $300 (support raised) - $50 (deposit) = $150 due at 1st payment date to be paid by student or family.

•When a student has received or earned all of the necessary funds for the trip, any subsequent money that comes in will be applied to other team members – going to other family members 1st, and then going to the students or leaders with the most need.

•Students are required to work at least 20 hrs toward the cost of their trip

oThey can use hours of and existing job

oThey can pick up odd jobs or offer their services (babysitting, yard work, etc, in their support letter with a phone number listed)

$$$ for work should be sent to Pinewood listing the student to whom the work should be credited

•Students can drop out of the trip with the following penalties

60-90 days prior to project…. 30% non-refundable

30-59 days prior to project…..60% non-refundable

Less than 30 days prior to project….. 100% non-refundable

•Once plane tickets are purchased, the Student is responsible for the entire cost of the trip. There is no turning back at that point.

oOne can drop out if they find another person to take their place

oThis is desirable especially if the trip is already paid for through support

oNo money will be sent back to supporters if the student or leader drops out

This would create a book keeping nightmare

$ already collected will be used for other team members

Travel Responsibilities

•We will inform you of immunizations necessary for each trip

•You must have a valid Passport to travel to the Ukraine or Mexico

oThis documentation must be in process by the Envelope stuffing party on March 4th!!!! Submitting your paper work for passport immediately (this week) is preferred.
